There's More to Your Message than the Words

Anyone who has ever taken a public speaking class knows that only a small fraction of our communication is conveyed by the words we choose. The most frequently quoted numbers are 7% verbal (words), 38% vocal (pitch, tone, pace, volume, etc.), and 55% body movement (mostly facial expression). Here's what's interesting. Recent research by Kristin Byron, a professor at Syracuse University concludes that we attempt to read the non-verbal cues even when it isn't available. People assume the missing 93% when they read your email messages.

Where Do You Keep all that Email?

If the previous article wasn't enough to get you to send less email, how about the ever-growing requirements for saving and archiving email. Several federal laws make specific mention of email retention requirements, including Sarbanes-Oxley, Graham-Leach-Bliley, and, arguably, HIPAA. In addition, new federal court rules that took effect late last year deals specifically with the whole area of electronic discovery, of which email is the largest part. The gist of all of this, as well as your own internal requirements, is a need to figure out what to do with all the email that passes in and out of your network each day.

In addition to the business risk, saving email is becoming a cost burden on your network. Roughly one third of the server storage space on most networks is occupied by email.
